These Terms and Conditions (hereinafter referred to as “Terms”) govern your use of our Website and services. By accessing or using the Website, you agree to comply with and be legally bound by these Terms. If you do not agree with these Terms, please do not use the Website.

 

1. Introduction

Welcome to Green Book Expeditions, a brand owned and operated by Tahovista ADventures LLC, a company incorporated and registered in the United States, with its principal place of business in Seattle, Washington. These Terms and Conditions (“Terms”) govern your relationship with us when booking and participating in any travel services, expeditions, or custom itineraries we provide.

By booking a tour or expedition with Green Book Expeditions, you (“Client,” “you,” or “traveler”) acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, as well as any supplemental policies and waivers we may provide. These Terms constitute a binding legal agreement between you and Tahovista ADventures LLC (“Green Book Expeditions,” “Company,” “we,” “us,” or “our”).

Our expeditions are designed to provide immersive, land-based travel experiences in some of the world’s most remote and remarkable regions. Please read these Terms carefully as they include important information regarding your rights, responsibilities, and limitations of liability.

If you do not agree with any part of these Terms, please do not proceed with any booking or travel arrangements through Green Book Expeditions.

2. Modification of Terms and Conditions

Green Book Expeditions reserves the right to amend or update these Terms and Conditions at any time, without prior notice. However, any modifications will not apply retroactively to Trips already booked prior to such changes. It is the client’s responsibility to review and accept the Terms and Conditions at the time of booking to ensure you are aware of the most current policies.

3. Pricing and Applicable Taxes

All prices quoted are in United States Dollars (USD) unless otherwise specified. The quoted prices are exclusive of taxes, which will be calculated at the rate of 8.8% of the total tour cost unless local laws dictate otherwise.

The Client acknowledges and agrees to pay these taxes in addition to the base package price. Any purchase order terms provided by the Client will not alter the quoted prices, inclusions, or scope of services unless explicitly agreed upon in writing by Green Book Expeditions or Tahovista ADventures LLC.

Prices also do not include any additional government-imposed taxes, duties, levies, customs fees, import/export charges, stamp duties, or any other charges from authorities in any jurisdiction. These, along with any related penalties, fines, or interest, are the sole responsibility of the Client.

4. Booking & Payment Terms

4.1 Reservation and Deposit

To secure a booking, a non-refundable deposit of USD 499 per traveler is required at the time of registration. This deposit is applied toward the total cost of your selected tour or custom itinerary. Bookings will be confirmed only upon receipt of this deposit and subject to availability.

4.2 Payment Methods

We accept payments via bank transfer, credit card, and debit card. Full payment instructions will be provided upon booking confirmation.

4.3 Final Balance

The remaining balance must be paid in full no later than 45 days prior to the departure date. If the booking is made less than 45 days before departure, full payment is due at the time of booking.

4.4 Booking Confirmation

Once the full payment is received, a confirmation notice, along with relevant travel documents and itinerary details, will be sent via email. The contract becomes effective only upon issuance of this confirmation.

4.5 Group Minimums

Most expeditions require a minimum of 12 participants to operate. In the event of a significant drop in participant numbers, we reserve the right to cancel the tour. However, if we confirm the departure regardless of group size, all original terms and pricing will remain valid.

4.6 Tour Inclusions

Our packages are land-only and do not include international airfare to and from the traveler’s home country, unless explicitly stated. All other inclusions and exclusions will be clearly specified in the trip itinerary provided during booking.

5. Cancellations & Refunds

5.1 Cancellation by the Traveler

If you must cancel your trip, you must notify us in writing at the earliest possible time. The following cancellation charges will apply, based on the number of days prior to departure that written notice is received:

  • 60 days or more before departure: Full refund of the tour cost, excluding the non-refundable USD 499 registration deposit.
  • 59 to 45 days before departure: 75% of the total tour cost will be charged.
  • 44 to 0 days before departure: 100% of the tour cost will be charged.

Please note: The registration deposit is non-refundable under all circumstances.

5.2 Cancellation by Green Book Expeditions

In the unlikely event that we must cancel a tour due to operational reasons (excluding force majeure), you will receive a full refund of all payments made, including the registration deposit. 

Such refund will constitute full settlement of any claims against Green Book Expeditions, and no additional compensation will be provided.

5.3 Refund Processing

Approved refunds will be processed within 30 business days from the date of cancellation confirmation. All refunds will be made in the original payment method, unless otherwise agreed.

6. Travel Documents

6.1 Passports and Visa

Travelers are responsible for ensuring they have the necessary travel documents, including valid passports, visas, and any required entry permits. Green Book Expeditions will assist with the information, but travelers must verify visa requirements for their specific nationality.

  • Passports must be valid for at least six months from the departure date.
  • Visas are the responsibility of the traveler. Please ensure you obtain the necessary visa(s) before departure.

6.2 Travel Insurance

We highly recommend that all travelers obtain comprehensive travel insurance that covers trip cancellations, medical emergencies, lost luggage, and other travel-related incidents. Travel insurance is not mandatory, but it is strongly encouraged to protect yourself in case of unforeseen events.

Green Book Expeditions is not responsible for any costs incurred due to illness, injury, or cancellation outside of our control.

7. Accommodation and Food

7.1 Room Arrangements

All accommodations are offered on a twin-sharing basis by default. Travelers will be paired with another traveler of the same gender, unless traveling as a couple, family, or otherwise specified at booking.

7.2 Single Occupancy

Single rooms can be arranged upon request, subject to availability and at an additional cost, which will vary by package and destination. Requests for single occupancy must be made at the time of booking.

7.3 Accommodation Standards

We take great pride in curating some of the most premium, handpicked stays across all destinations. From boutique hotels and luxury eco-resorts to immersive lodges in remote regions, your comfort is our top priority.

In unique environments like the Amazon Rainforest or Elephant Sands in Botswana, travelers will stay in well-appointed lodges or safari-style accommodations designed to blend comfort with an authentic wilderness experience. The nature of these stays will be clearly communicated in the pre-departure documents.

7.4 Special Requests

While we do our best to accommodate dietary restrictions, mobility concerns, or special requests, these must be shared at the time of booking and are subject to availability at each location.

7.5 Check-in Time

The standard check-in time for all accommodations is between 2:00 PM and 3:00 PM local time. In the event that travelers arrive earlier than the designated check-in time, they may be required to wait until the room is ready for occupancy. Early check-in requests are subject to availability and cannot be guaranteed. 

7.6 In-transit Meals Arrangement

On designated travel days involving flights, meals may consist of pre-packed snacks or quick-service meals depending on the transit schedule and airport availability.

8. Traveler Conduct & Responsibilities

8.1 Respect for Local Culture & Laws

All travelers are expected to respect the customs, traditions, and laws of the countries and communities they visit. Disrespectful behavior, harassment, or violation of local regulations may result in removal from the expedition without refund.

8.2 Code of Conduct

Green Book Expeditions promotes a culture of mutual respect, inclusivity, and safety. Travelers must conduct themselves in a manner that is courteous to fellow participants, guides, and locals. Any form of discrimination, violence, or inappropriate behavior will not be tolerated.

Removal from the trip due to misconduct will be at the traveler’s expense, and no refunds will be provided.

8.3 Minors

Minors are welcome on our trips but must be accompanied by a responsible adult at all times. Travelers under 18 are not permitted to join expeditions alone.

8.4 Medical Considerations

Travelers should be in reasonably good health to participate in our expeditions. A medical certificate is not mandatory, but travelers must inform us of any chronic conditions or limitations that may affect participation. We reserve the right to deny participation if safety is at risk.

8.5 Fitness & Participation

Participation in some activities may require moderate physical exertion (e.g., walking, hiking, boat rides). It is the traveler’s responsibility to ensure they are fit for such experiences. If uncertain, please consult with our team before booking.

9. Limitation of Liability & General Conditions

At Green Book Expeditions (Tahovista ADventures LLC), we strive to provide exceptional service and safe travel experiences. However, certain aspects of your journey may involve services provided by third parties over whom we have no direct control. The following terms apply:

9.1 Third-Party Services

Green Book Expeditions is a full-service travel company offering comprehensive travel experiences. While we directly manage and operate key aspects of our expeditions, many components—such as flights, accommodations, local transport, and certain activities—are delivered by independent third-party providers. We carefully select and collaborate with trusted partners; however, we do not have direct control over their operations. Therefore, we cannot be held liable for any delays, service failures, cancellations, accidents, or other issues arising from their conduct. In cases where such disruptions incur additional costs, these may be passed on to the traveler.

9.2 Non-Refundable Deposits and Advance Payments

All registration deposits and advance amounts paid toward your tour are non-refundable under any circumstances. This includes the standard non-refundable deposit of USD 499 paid at the time of booking.

9.3 Force Majeure and Unforeseen Events

We shall not be held liable for any delays, cancellations, injuries, losses, damages, or other inconveniences arising from acts of God, political unrest, natural disasters, pandemics, civil disturbances, strikes, or other force majeure events beyond our control. In such cases, while refunds may not be possible, we will make reasonable efforts to reschedule your trip or offer a credit toward a future departure.

9.4 Health, Safety, and Traveler Responsibility

Travelers are responsible for their personal health and safety during the trip. Certain activities such as rafting, canoeing, trekking, horseback riding, and similar outdoor adventures carry inherent risks. Participation is voluntary, and by joining such activities, travelers acknowledge these risks. The Company will not be held liable for injury, illness, or death resulting from these or similar activities.

9.5 Itinerary Changes and Site Accessibility

We reserve the right to make changes to itineraries, including route modifications, hotel substitutions, and changes in activities or locations due to operational constraints, weather, or local regulations. In certain cities, coach access to some landmarks may be restricted. In such cases, our team will drop you as close as permitted, but no refunds will be issued.

9.6 Additional Activities & Modifications

Activities not explicitly listed in your package are not included in the cost and will incur additional charges. Requests for changes to confirmed bookings—such as date, tour, or itinerary changes—may incur a service fee or fare difference and are subject to availability.

10. Media Release

By joining an expedition, you grant Green Book Expeditions the right to use photographs, videos, or other media of you taken during the trip for promotional and commercial purposes, unless you notify us in writing prior to departure.

11. Governing Law and Dispute Resolution

11.1 Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Washington, United States, without regard to its conflicts of law principles. By booking a tour with Green Book Expeditions, you agree to submit to the exclusive jurisdiction of the courts located in Seattle, Washington, for any disputes arising from these Terms and Conditions.

11.2 Dispute Resolution

Any disputes, claims, or controversies arising out of or in connection with these Terms and Conditions, including those related to the booking, the execution of the tour, or any other issues regarding your travel with Green Book Expeditions, shall be resolved through the following process:

  1. Negotiation and Mediation: In the event of a dispute, both parties agree to first attempt to resolve the issue through informal negotiation. If a resolution is not reached within 30 days, the dispute may proceed to mediation.
  2. Arbitration: If the dispute cannot be resolved through negotiation or mediation, the dispute shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association (AAA). The arbitration shall be conducted in Seattle, Washington, and the award rendered by the arbitrator(s) shall be final and binding. The arbitration shall be conducted in the English language.
  3. Costs: Each party shall bear its own costs of the dispute, including legal and arbitration fees, unless the arbitrator determines otherwise.

11.3 Waiver of Class Action

You agree that any dispute resolution proceedings will be conducted only on an individual basis, and not in a class, consolidated, or representative action. You waive any right to participate in a class action or similar proceeding.

12. Acknowledgment and Acceptance

By proceeding with any booking or payment, the Client confirms that they have read, understood, and agreed to be bound by the terms and conditions set forth herein. These Terms constitute a legally binding agreement between the Client and Green Book Expeditions, operated by Tahovista ADventures LLC.

The Client further acknowledges that participation in any travel services provided by Green Book Expeditions signifies full acceptance of all terms, disclaimers, policies, and conditions as outlined above, including but not limited to liability limitations, cancellation policies, and responsibilities of the parties.

These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which Tahovista ADventures LLC is registered. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the competent courts of said jurisdiction.
